Execution: register on the EU Digital Product Passport Registry

Four steps in a fixed sequence. Each one consumes something you prepared in Track A. Do not skip ahead — every step depends on the output of the one before.

1
Step 1 · Uses Track A, step 1

Log in with your EU Login

Instructions

Open the EU Digital Product Passport Registry and authenticate with the EU Login account you prepared. The platform recognises you only through that account.

  1. 1Open the EU DPP Registry portal on the computer where your seal infrastructure is installed.
  2. 2Choose “Log in” and enter the EU Login e-mail and password from Track A.
  3. 3Approve the second-factor prompt on your registered phone or enter the SMS code.
  4. 4Confirm you see the registry dashboard with the option “Register as economic operator”.

Helper tool

Readiness gate

Execution assumes these three results from Track A exist. Confirm each before you log in.

Go back to preparation for the open items before you continue.

Typical pitfalls

  • Logging in with a colleague’s private EU Login: the registration will be tied to the wrong person.
  • Starting on a laptop without the card reader and middleware — step 3 will then fail mid-session.
  • Letting the session expire while looking for data: have the company data sheet open beside you.
2
Step 2 · Uses Track A, step 3

Fill in the online form and download the EU declaration PDF

Instructions

The form collects your company identity. When submitted, the platform generates a single-page declaration PDF that you download — it is the document you will seal in step 3.

  1. 1Choose “Register as economic operator” and select your role: manufacturer, importer or authorised representative.
  2. 2Enter Firma, Rechtsform and Sitz address exactly as on your company data sheet.
  3. 3Select Germany as country of registration and enter the Handelsregister identification code — use the helper tool below to get the format right.
  4. 4Add the contact person.
  5. 5Review every field against the Handelsregisterauszug, then submit the form.
  6. 6Download the generated declaration PDF and save it unchanged in a folder you will find again.
Output: declaration PDF (one page)

Generated by the platform from your entries. Do not open it in an editor, rename it or re-save it before step 3.

Typical pitfalls

The register code and company name you enter here must match, character for character, what is embedded in your qualified seal certificate. A mismatch is the most common reason a registration is rejected in step 4.

  • Typing the court name or “HRB 12345” with a space instead of the coded NTRDE identifier — the registry compares it with your seal certificate character by character.
  • Using an old company name after a rename that the seal certificate still carries — or the reverse.
  • Submitting with a typo and then trying to “fix it in the PDF”: the PDF cannot be edited; you must redo the form.

Helper tool Trickiest part

NTR identifier builder (Germany)

The EU form asks for your national trade register identifier (NTR). For German companies it is not the text on your Handelsregisterauszug but a coded string that also appears in your qualified seal certificate. Pick your register court, choose the department and enter the number — the tool assembles the identifier.

Two minutes: what the NTR identifier is and how it is assembled.

NTR identifier for the EU form Pick your register court to start.

Copy this exactly — no spaces anywhere. The pattern is NTRDE-<court code>.<HRA|HRB><number>, as written by D-Trust into qualified seal certificates following ETSI EN 319 412-1. Your seal certificate remains the source of truth: compare below before you submit.

Seal match check

Paste the organisation identifier from your seal certificate and what you are about to type into the form. They must be identical.

Fill in both fields to compare.
3
Step 3 · Uses Track A, step 2

Apply the qualified seal to countersign the declaration

Instructions

Now the physical chain from Track A does its job: card in reader, middleware active, signing software open. The seal turns the downloaded PDF into a legally binding declaration of your GmbH.

  1. 1Connect the card reader and insert the seal card. Wait until the middleware shows the certificate as available.
  2. 2Open the downloaded declaration PDF in your signing application (the one you used for the test seal).
  3. 3Choose “Seal” or “Sign with certificate” and select the qualified seal certificate of your GmbH — not a personal certificate.
  4. 4Use a PAdES-compliant seal embedded in the PDF. A visible seal image is optional; the embedded cryptographic seal is what counts.
  5. 5Enter the seal PIN on the reader’s keypad when prompted.
  6. 6Save the sealed file under a new name and verify it with a validation service: the result must show a qualified seal for your GmbH.

Helper tool

Pre-seal checklist

Run through this in the minute before you press “Seal”.

Not ready — complete the open items first.

Typical pitfalls

  • Signing with a personal qualified signature instead of the company seal — the registry expects a seal.
  • Editing, annotating or “printing to PDF” the declaration before sealing: the platform will not recognise the altered document.
  • Printing, hand-signing and scanning the declaration: a scan carries no qualified seal.
  • Entering the wrong PIN three times and blocking the card — have the PIN letter, not your memory.
4
Step 4 · Closes the loop

Upload the sealed PDF and complete verification

Instructions

Back in the registry, upload the sealed declaration. The platform validates the seal and checks that its embedded identity matches the form. When both pass, your economic operator registration is complete.

  1. 1Return to the registry tab (log in again if the session expired) and open your pending registration.
  2. 2Choose “Upload signed declaration” and select the sealed file — the one saved under the new name in step 3.
  3. 3Wait for the automatic validation: seal validity, certificate qualification and identity match.
  4. 4If the platform reports a mismatch, do not re-upload the same file: go back to step 2, correct the form and repeat steps 2 to 4.
  5. 5When verification succeeds, note your economic operator identifier and keep the confirmation e-mail with your company records.

Typical pitfalls

  • Uploading the original unsealed PDF from step 2 by mistake — check the file name.
  • Closing the browser before the verification result appears.
  • Treating an “identity mismatch” as a platform error: it is the form entry or the seal certificate that differs.

Helper tool
